1. What does my child need to bring on the day?
Please ensure that your child brings a packed lunch, snacks and plenty of non-fizzy drinks, although drinking water is always available. KOOSA Kids do advocate a healthy and balanced diet, so when packing your child's lunch box for the day, you might wish to include fresh and non processed food products such as fruit, vegetables, wholemeal bread and biscuits, natural yoghurts, raisins, fruit drinks and water.
We do not have refrigeration facilities available at our venues so therefore as well as the healthy food mentioned above, we recommend hard cheese, crackers, bread and to pack frozen gel, ice packs or frozen juice drinks in with the lunch.
Please also ensure your child has appropriate clothing for indoor and outdoor activities. This should include sun hats and sun cream during warmer days, or warm clothing and a waterproof when the weather is cooler and more variable.

2. When and how do i drop off and collect?
Our standard activity day runs from 10.00am to 4.00pm. Registration will open at 9.45am and we request that you start registering no later than 9.55am. The extended activity day runs from 8.15am to 6.00pm. Dependent on whether you have booked a full AM and PM option, or selected either the AM or PM extensions, you can drop your child off anytime between 8.15am and 10.00am and pick up between 4.00pm and 6.00pm. Please note however that extended day registration closes promptly at 6.00pm and we do levy late fees for later pick ups.
We operate a strict and secure drop off and collection system and it is neccessary for a parent/guardian to sign all children in/out each day. On arrival you will be asked to check the contact details we have on file and sign an emergency medical/operative treatment consent statement. You will also be issued with a unique security pin number for your child. If for any reason the parent/guardian dropping off is unable to collect on a particular afternoon/evening and you wish a friend or relative to collect your child/children, please ensure that this number is passed securely on to whoever is collecting.
Please note, we will not be able to release your child unless the pin number is accurately quoted by the person collecting.

3. Early Years Foundation Stage (EYFS) - Parents of 4 and 5 year olds only
On 1st September 2008, a new Government framework (EYFS) was introduced for all children aged from birth to 5, with the purpose on ensuring consistency of care and development, wherever a child may be - with a childminder, a day nursery, holiday or after school club or at school. In line with this new framework, KOOSA Kids are required by law to request further information on your child to ensure we are meeting the new standards and providing the best level of care for your child.
If your child is in Reception Class, or has not yet started school, we now require you to complete a 'KOOSA Kids EYFS Pack'. Whether you have booked online, over the phone, or by post, this pack will be promptly forwarded to you (via email or post) and you are required to fully complete and hand over to us on your child's first day with us.
If for any reason you do not receive your EYFS pack from us prior to your child's first attendance, please email info@koosakids.co.uk and a pack will be sent to you by return. Please note, a separate pack is required for each sibling.

4. What are the adult to child ratios?
KOOSA Kids ratio of staff to children is fully in line with all statutory requirements. We operate a strict 1:8 ratio of adults to children for children aged 4 to 7 and group activity sizes never exceed 24 children. For our eights and over we aim for a 1:10 ratio, with 1 or 2 members of staff dependant on the activity.

5. Are all KOOSA Kids Clubs registered with Ofsted?
All KOOSA Kids holiday clubs are registered with Ofsted. This means each of our holiday clubs adhere to the guidelines and standards set out to safeguard the welfare of your child during their time with us. In September 2008, the Early Years Foundation Stage (EYFS) was introduced, providing a new set of standards for children aged 0-5. 6. What if my child requires medication whilst at the club?
KOOSA Kids are only able to accept and administer prescribed medication. If your child is likely to require prescribed medication of any sort throughout the day, please inform the site manager on arrival, who will complete the necessary paperwork. All medication should be handed to the site manager.
Due to a recent tightening up of the regulations that govern the administration of emergency medication (epipens, hypodermic injections etc), we can no longer accept children into any KOOSA Kids club without specific consent from the child's general practitioner or consultant. This is an insurance requirement and without this consent we would be considered to be in breach of the terms and conditions of our insurance, and therefore uninsured.
Please contact KOOSA Kids head office on 0845 094 2322 so that you can be sent the documents that will need to be signed by your doctor and returned to KOOSA Kids head office prior to yoru child's first visit.
Please note, if your child carries an epipen, you will need to provide KOOSA Kids with two epipens. KOOSA Kids reserve the right to refuse admission if you do not supply two epipens, or if the epipens supplied are not in suitable working order (e.g. cloudy or discoloured liquid).

7. Who will be looking after my child?
We know that great staff make for a great holiday club. All of our coaches possess the mixture of experience, skill and personality necessary to get the most from the children, whilst ensuring all the activities are delivered in a safe and organised manner.
All KOOSA Kids coaches are cleared with the Criminal Records Bureau (CRB) and trained in child protection, activity delivery, behaviour management and health and safety. Our managers our Level 3 Qualified in Playwork (or equivalent) and the majority of our coaches are Level 2 Qualified in Playwork (or equivalent). For added assurance, there is always a Paediatric First Aid qualified team member on site at all times.

8. Can my child be in the same group as a friend if they are different ages?
In order for your child to get the most out of their time with KOOSA Kids, they will be grouped with children of a similar age. Each group has its own identity and is allocated both a Coach and an Assistant Coach, who best suit the needs of that particular age group. Please see age groups for more specific information on idividual groups.
If children specifically want to be with friends or relatives of a different age, this can usually be arranged, but we will need to be notified previously. Please note, for safety and fairness reasons, it is not sensible to group children of vastly differing ages, even if they are friends or relatives.

9. Can KOOSA Kids help me with the cost of my childcare?
As KOOSA Kids are an Ofsted Registered childcare provider, if you are eligible, you may be able to subsidise the cost of childcare through the following -

Childcare Vouchers - Childcare Vouchers allow employers to help their employees with the cost of childcare. Childcare Vouchers are exempt from National Insurance Contributions (NICs) and Income Tax for employees up to the value of £55 per week, which can mean savings of over £2000 a year for a couple who are both working. All employers are able to run a childcare voucher scheme and employers do make considerable savings too. Why not ask your employer if they currently run or would be prepared to run a childcare voucher scheme. Remember KOOSA Kids also offer first visit free, third child goes free and 8% weekly booking discounts.

10. What happens if I need to cancel a booked session?
If you do need to cancel any pre booked sessions please contact us as soon as possible so we can make amendments to registers
If the cancellation request is received with less than 7 days notice before your child is due to attend you will not be entitled to any credit/refund and your sessions will be lost.
The following outlines our holiday club cancellation policy -
KOOSA Kids do not offer cash refunds for any booking cancellations.
Notification 15+ days before attendance is due - 100% Credit Note
Notification 8 to 14 days before attendance is due - 50% Credit Note

11. What is the booking deadline for holiday club sessions?
